PRIMARY OBJECTIVE OF POSITION:
Primary responsibility is to generate banquet revenue for the hotel within the designated market(s) through goals set by the Director of Sales and Marketing. The scope of the goals includes being an integral participant in the initiatives set forth for the Catering Sales Department, the Sales and Marketing Department and the hotel. Goals include prospecting for new business, developing lasting relationships with current planners and developing new business opportunities. This individual works with the Director of Sales and Marketing on marketing initiatives designed to enhance The Langham, Chicago’s positioning among social and corporate catering business. This position is also responsible for assisting with the detailing and servicing of groups booked by the sales department.
RESPONSIBILITIES AND JOB DUTIES:
-Anticipate and respond to all customer needs within a timely manner, acknowledge all customers, however busy and whatever time of day.
-Plan and prepare appointments for site inspections, on-site appointments, outside sales calls and tradeshows.
-Conduct necessary follow-up for above activities-documenting details in Delphi/Amadeus Advanced according to departmental standards.
-Handle inquiry calls according to departmental procedure.
-Introduce new initiatives and practices to elevate catering sales experience and offerings.
-Identify new markets and develop solicitation strategies to introduce such markets to The Langham, Chicago.
-Maintain complete knowledge of all hotel services/features and hours of operation.
-Maintain complete knowledge of, and comply with, all hotel and departmental policies and procedures.
-Maintain complete knowledge of computer according to specifications.
-Access all functions of computer according to specifications.
-Entertain clients, partners and vendors in all outlets as necessary.
-Complete and process paperwork for clients, other departments, etc., within a timely manner.
-Be aware of the overall set up and implementation of events and meetings.
-Communicate with relevant departments to ensure proper servicing of accounts.
-Contact and review all client details to ensure the successful execution and flow of contracted programs including but limited to: banquet event orders, food, beverage and meeting needs, rooming lists, ground transportation, special room service needs, group resumes, master account billing, audio visual and box handling.
-Meet and greet clients as appropriate and oversee formal pre-con or informal needs review with appropriate hotel stakeholders, as requested by client.
-Communicate with team and confirm details are correct and represent clients’ expectation of the hotel.
-Close out file by checking billing, room pick up, thank you letter, processing commissions, rebates, etc.
-On an ongoing basis, review function book to maximize client flow and revenue optimization.
-Weekly tracking of group room pick-up within a 90 day period-reporting status weekly to Director of Sales and Revenue Director.
-Handle guest complaints by following instant pacification procedures ensuring guest satisfaction.
-Promote positive relations with guests and employees.
-Maintain high level of knowledge in reference to, The Langham, Chicago as well as The Langham brand and philosophy.
-Maintain high level of knowledge of the competition’s product.
-Answer incoming phone calls in a pleasant manner, within two rings, using correct salutations and Langham telephone etiquette.
-Attend departmental and hotel meetings as required.
-Successfully complete the training/certification process for position.
-Always book “smart” in respect to patterns.
-Ensure financial successes of hotel by overseeing all bookings are profitable for entire hotel.
